1. Scope and purpose
This Privacy Policy explains how TRIUDS collects, uses, stores, and protects information when a person visits our website, requests information, submits a project intake, purchases or discusses a service, or otherwise communicates with us. It applies to website visitors, prospective customers, current customers, authorized customer representatives, vendors, and other business contacts.
TRIUDS provides business automation and digital operations services, including AI assistant setup, workflow automation, dashboards, knowledge bases, document workflows, data organization, and operational optimization. The information we handle depends on the specific service requested and the way a customer chooses to work with us. We seek to collect only information that is relevant to a legitimate business purpose.
2. Information we may collect
Information provided directly. We may receive a name, work email address, telephone number, Telegram identifier, company name, job title, project description, selected service, budget or timing information, and any other information included in an inquiry. If a customer engages us, we may also receive billing details, business records, workflow descriptions, process documentation, system requirements, access instructions, authorized user information, and files supplied for the agreed work.
Technical and usage information. When the website is visited, standard technical information may be generated by the browser or hosting environment. This can include IP address, browser type, device type, operating system, referral source, pages viewed, approximate region, timestamps, and basic diagnostic events. We may use essential cookies or comparable browser storage when necessary for site operation, preference handling, security, or aggregated performance analysis.
Service-related information. A project may require access to business tools, databases, documents, or workflows selected by the customer. Such access is limited to the agreed scope. Customers should not provide information that is unnecessary for the service, and should remove or restrict sensitive personal information wherever practical before providing project materials.
We do not intentionally collect personal information from children, and our services are directed to businesses and adults acting in a professional capacity.
3. How information is used
We may use information to review and respond to inquiries; prepare a scope, estimate, proposal, or implementation plan; provide and support contracted services; configure requested systems; document project decisions; communicate about progress, changes, billing, and support; maintain business records; protect the website and our systems; investigate technical problems; prevent misuse; comply with legal obligations; and improve the clarity and reliability of our services.
We do not use customer materials to create unrelated marketing profiles. We do not sell personal information. We do not use contact details for automated promotional messaging where consent is required. If we send a service-related communication, it will concern an inquiry, project, account, requested update, operational notice, or another legitimate business matter.
Where applicable, our processing may rely on the performance of a contract, steps requested before entering a contract, a legitimate business interest, compliance with a legal obligation, or consent. The applicable basis depends on the context and jurisdiction.
5. Retention and deletion
We retain information for as long as reasonably necessary to respond to an inquiry, deliver and support a service, maintain accurate business and tax records, resolve disputes, enforce agreements, protect systems, and meet legal obligations. Retention periods vary by record type. An unanswered or inactive inquiry may be removed sooner than information connected with a completed paid engagement.
When information is no longer needed, we may delete it, anonymize it, or securely isolate it until deletion is practical. Backup copies can remain for a limited period under routine backup cycles. A deletion request may not require removal of records that must be retained for legal, accounting, fraud-prevention, or contract-enforcement purposes.
6. Privacy choices and requests
Depending on location, a person may have rights to request access to personal information, correction of inaccurate information, deletion, restriction, objection, portability, or information about disclosure practices. A person may also withdraw consent where consent is the basis for processing, without affecting earlier lawful processing.
To protect the requester and our customers, we may need to verify identity and authority before acting on a request. An authorized agent may be required to provide written authority. We will respond within the time required by applicable law and explain if an exception applies. We will not discriminate against a person for exercising an applicable privacy right.
Browser controls may be used to block or remove nonessential cookies. Doing so may affect preference features. Additional information is available in the Cookie Policy.
7. Security and customer responsibility
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information and the project. Measures may include access limitation, role-based permissions, confidentiality obligations, authentication controls, secure transfer methods, logging, and project-specific handling instructions. No internet transmission, device, platform, or storage method is completely secure, and absolute security cannot be guaranteed.
Customers are responsible for providing accurate access instructions, limiting credentials to what is necessary, promptly revoking access when appropriate, and informing us of special regulatory or security requirements before work begins. Credentials should be shared only through an agreed secure method and should not be placed in an ordinary website inquiry.
8. International handling and policy changes
Service providers or project collaborators may process information in locations different from the visitor or customer. Where required, appropriate contractual or other transfer safeguards will be used. This Policy may be revised when our practices, services, or legal obligations change. The date at the top identifies the current version. Material changes may also be communicated through the website or directly to affected customers.
9. Contact
Questions or privacy requests may be sent using the following business contact information. Do not include passwords, full payment card data, government identification numbers, or unrelated sensitive information in an initial request.
